What you’ll be doing:

As the Business Support Coordinator, you will provide direct support to our  Chief Technical Officer (CTO). You will implement policies and procedures to enhance organizational efficiency ensure the smooth operation of the CTO office. This will be via diary management, travel planning, report compilation and providing general administrative functions. It’s a role where no day is ever the same.

Due to the nature of this position, we will require the successful candidate to work daily onsite at our Virgin Australia Hangar. (BNE Airport)  Due to the Hangar location you will require your own transport. 

Responsibilities of this role will include but not be limited to:

  • Provide direct administrative report to the CTO
  • Manage diary appointments and coordinate personal and business meetings.
  • Ensure peak organizational operations and implement preventative measures to address potential issues.
  • Maintain office efficiency by organising procedures, managing file systems, and overseeing supplies and equipment.
  • Act as the main point of contact in the reception area and keep management informed via performance reports.
  • Manage travel and accommodation arrangements for the CTO and team, as well as contractors and guests.
  • Manage space/infrastructure planning and provide support for ad hoc projects.
  • Provide broader CTO administrative support, including assistance to Engineering Departments Australia-wide.
  • Manage diary appointments and coordinate personal and business meetings.
  • Prepare and process correspondence and manage travel arrangements for the leadership team and clients/guests.
  • Process accounts, prepare expense claims, and complete other administrative duties as required.
  • Provide administrative and logistical support to ensure effective operations.
  • Build strong relationships with stakeholders and manage time commitments effectively. Coordinate internal and external resources, fostering strong relationships.
  • Prepare agendas and minutes for meetings and assist in drafting communications materials.
